Auto Attendant Recording Instruction via Voice Portal

Recording an AA greeting via the main # through a remote handset.

 

1)      Dial the mainline DID:  .

2)      When the greeting starts enter "9999" or "999" (dependant on the number of digit in your extension) followed by the "#".

3)      If calling from an inside line, enter "*".  If calling from an outside line, proceed to the next step.

4)      Enter mailbox ID "9999" followed by the "#".

5)      Enter Pass-code:  "2560" followed by the "#".

6)      To change Auto Attendant's greeting, press "1".

7)      Next enter the Auto Attendant number of the desired recording to change.

8)      To change the Auto Attendant Business Hours Greeting, select option 1.  Or to change the "After Hours Greeting", select option "2".

9)      To record a new Business Hours Greeting, press "1".

10)  To listen to the current Business Hours Greeting, press "2".

11)  To revert back to the default Business Hours Greeting, press "3".

12)  If you chose option 1, begin recording at the tone.

13)  When finished recording, press "#".

14)  To review your recording, press "2".

15)  To rerecord your greeting, press "1".

16)  When you are satisfied with your recording, simply disconnect the call and you are done.  The new recording will now be played when dialing the mainline number.

a.       If you wish to record other greetings, simply press the "*" key twice to take you back to step 6 and repeat the procedure for the desired AA number.

 

Recording an AA greeting via the backdoor # through a remote handset.

 

1)      Dial the backdoor DID:  .

2)      When the greeting starts enter "9999" followed by the "#".

3)      Enter Pass-code:  "2560" followed by the "#".

a.       Note:  this is a default pass-code.

4)      To change Auto Attendant's greeting, press "1".

5)      Next enter the Auto Attendant number.

6)      To change the Auto Attendant Business Hours Greeting, select option 1.  Or to change the "After Hours Greeting", select option "2".

7)      To record a new Business Hours Greeting, press "1".

8)      To listen to the current Business Hours Greeting, press "2".

9)      To revert back to the default Business Hours Greeting, press "3".

10)  If you chose option 1, begin recording at the tone.

11)  When finished recording, press "#".

12)  To review your recording, press "2".

13)  To rerecord your greeting, press "1".

Recording an AA greeting from an Internal phone

 The user that is making these mast make sure that auto log on is turned off. This done by doing the following:

Log in to Broadsoft with their username and password 

click messaging

then click voice portal

remove the check make from the auto-login and click apply then follow the direction below. 

1)      Press your messages button

2)      When greeting starts press *

3)      Enter "9999" followed by the "#".

4)      Enter Pass-code:  "2560" followed by the "#".

Note:  this is a default pass-code.

5)      To change Auto Attendant's greeting, press "1".

6)      Next enter the Auto Attendant number.

7)      To change the Auto Attendant Business Hours Greeting, select option 1.  Or to change the "After Hours Greeting", select option "2".

8)      To record a new Business Hours Greeting, press "1".

9)      To listen to the current Business Hours Greeting, press "2".

10)  To revert back to the default Business Hours Greeting, press "3".

11)  If you chose option 1, begin recording at the tone.

12)  When finished recording, press "#".

13)  To review your recording, press "2".

14)  To rerecord your greeting, press "1".

Recording the AA greeting via the Sound recorder in Windows XP

 

1)      Left mouse click the "Start" button in the lower left corner of your screen.

2)      Select "All Programs".

3)      Select "Accessories".

4)      Select "Entertainment".

5)      Select "Sound Recorder".  The "Sound Recorder" window will open.

6)      Select "File".

7)      Select "Properties".  The "Properties for Sound" window will open.

8)      Under the "Format Conversion" area, click on the "Convert Now" button.

9)      Under the "Format" field select the drop-down menu. 

10)  From the drop-down menu select "CCITT u-Law".

11)  Under the "Attributes" field select the drop-down menu. 

12)  From the drop-down menu select "8.000kHz, 8 bit, Mono 7 kb/sec".

13)  Under the "Name" field select the "Save As" button.  The Save As window will open.

14)  In the "Save this format as" field enter "Broadsoft".

15)  Click "OK".

16)  This will close the "Save this format as" window and return you to the "Sound Selection" window.

17)  Click "OK" in the "Sound Selection" window.  This will close the "Sound Selection" window and return you to the "Properties for Sound" window.

18)  Click "OK" to close this window and return you to the "Sound Recorder" window.

19)  Next, select "Edit" from the "Sound Recorder" window.

20)  Select "Audio Properties".  The "Audio Properties" window will open.

21)  Select "Volume" under "Sound Recording" from the "Audio Properties" window.  The "Recording Control" window will open.

22)  Select "Options" from the "Recording Control" window.

23)  Select "Properties" from the "Options" drop-down menu.  The "Properties" window will open.

24)  Select "Recordings" from the "Adjust volume for" area in the "Properties" window.

25)  Under the "Show the following volume controls", check the box next to "Microphone" if it is not already checked and select "OK".  This will close this window and take you back to the "Recording Control" window.

26)  Under "Microphone" there is a "Select" box.  Check this box if it is not already checked.

27)  Just below the "Select" box will be the "Advanced" button.  Click on the "Advanced" button.

28)  Under "Other Controls" select the option for "Microphone boost".

29)  Select the "Close" option button to close the window.

30)  In the "Recording Control" window, select "Options" then "Exit" to close the window.

31)  In the "Audio Properties" window, select "OK" to close the window.

32)  Return to the "Sound Recorder" window.

33)  Select the "Record" button to begin recording.

34)  Select the "Stop" button to end recording.

35)  Select the "Play" button to review your recording.

36)  When you are satisfied with your recording select "File" from the "Sound Recorder" window.

37)  From the "File" drop-down menu select "Save As".

38)  In the "Save As" window enter your desired file name in the "File name" field.

39)  At the bottom of the "Save as" window select the "Change" button.  This will open the "Sound Selection" window.

40)  In the "Name" field select the drop-down menu and select "Broadsoft".  These will format the file for the settings previously configured in steps 1-15.

41)  Click "OK".  This will apply the settings and close the "Sound Selection" window returning you to the "Save As" window.

42)  In the "Save As" window select the "Save" button.  This will save the .wav file, close the "Save As" window and return you to the "Sound Recorder" window.

43)  You may now load the file via your VoIPZone web page.

 

  • Note:  Steps 1-15 only have to be done once.  Once the Broadsoft settings have been configured and saved, you will only need to follow steps 1-19 for future recordings.

 

Loading the .wav File to the Auto Attendant

 

1)      Log into your enterprise using your assigned Username and Password.

2)      Under "Options" select "Services".

3)      Under "Services" select "Auto Attendant".

4)      In the "Auto Attendant" window select "Main Auto Attendant".

5)      In the "Auto Attendant Modify" window select "Business Hours Menu".

6)      In the "Business Hours Menu" select "Browse" to find your recorded greeting .wav file.

7)      Select your recorded greeting .wav file.

8)      Click "OK" to load the selected recorded greeting.

9)      Your new greeting is now active.
